Privacy Policy
Privacy Policy
This Privacy Policy describes how Rocky Bottom Acres, LLC ("Rocky Bottom Acres," "we," "us," or "our") collects, uses, and discloses personal information when you use www.rockybottomacres.com and when you request materials, delivery, or related work. By using the site or submitting information to us, you acknowledge this Privacy Policy.
1. Information we collect
"Personal information" means information that identifies, relates to, or could reasonably be linked with you or your household. We collect the following categories:
- Identifiers and contact information you submit, including your name, telephone number, and email address.
- Project and property information, including the service address, a description of the work, photographs of the project and the proposed placement area, the material and quantity requested, a requested delivery window, and, if you inquire about installation, a stated budget range.
- Payment information. Card payments are entered into and processed by Square, Inc. ("Square"). We receive a payment record, including the amount, date, and Square payment identifier. We do not store your full payment-card number on our systems.
- Technical and usage information, including Internet Protocol address, browser type, and pages requested, as recorded in ordinary server logs. We retain an IP address for a limited period in order to limit repeated form, photograph, and usage submissions.
- Site usage, kept on our own server: the pages you open, the order of those pages, how far down a page you scroll, where on a page you click, taps such as Plan My Load, phone, or email, the kind of device and browser, the website that referred you, and an approximate city, state, and country. That place is looked up on our server from a published address list (DB-IP). We keep the network address with that visit, on our server, and do not send it to a location service. A random identifier stored in this browser lets us tell a return visit from a new one. We do not record what you type into a form. Until you submit a form, this record is not tied to your name. If you submit a booking, a contact form, or project photos, or if you enter a name and phone or a property address and then leave, we connect that browser's visit to the contact or prospect record created from what you sent.
If you use the address lookup, aerial drawing, or mileage tools, the address or map location you enter is transmitted to the service providers that operate those tools. Delivery addresses are sent to Google to find the street and to a driving-route service to estimate distance from our yard. On the aerial drawing tool, that same address is also sent to Esri to place the aerial photo. The photo is Esri imagery. Distance is still estimated from the Google street location. Typefaces on the site are loaded from Google Fonts.
We do not use advertising cookies on the public site, and we do not send the usage record to an outside analytics company. The random identifier is stored in this browser for this site only. It is not an advertising cookie and it is not shared with an advertising network. Our internal office system uses a sign-in cookie for authorized personnel. That cookie is not set for visitors of the public site.
2. How we use personal information
We use personal information for the following purposes:
- To prepare a quote, schedule delivery, and place material when access and conditions allow.
- To process payment and maintain a record of the transaction.
- To communicate with you about the project you initiated, by telephone, text message, or email. Message and data rates may apply. We do not enroll your telephone number in a marketing list.
- To maintain business records, respond to a dispute, and comply with tax, accounting, and other legal obligations.
- To understand how the public site is used, so we can make planning a load easier.
- To detect, prevent, and address fraud, abuse, or threats to the security of the site, our personnel, or our customers.
3. How we disclose personal information
We disclose personal information only as described in this Privacy Policy, and only to the extent reasonably necessary:
- To Square, for payment processing.
- To providers of email, telephone, and text-message services, so that we may communicate with you about a requested job.
- To the address, mapping, and routing providers identified above, when you use those tools.
- To the vendor that hosts this website and stores the site files and job records.
- To a professional advisor, successor, or purchaser, in connection with a financing, merger, sale, or similar transaction, subject to appropriate confidentiality obligations.
- To a government authority or other third party when we believe in good faith that disclosure is required by law, legal process, or a request from a public authority, or is reasonably necessary to protect the rights, property, or safety of Rocky Bottom Acres, our customers, or the public.
4. Sale of personal information
We do not sell personal information. We do not share personal information for cross-context behavioral advertising. Certain state laws, including the California Consumer Privacy Act and the Virginia Consumer Data Protection Act, apply only to businesses that meet stated revenue or volume thresholds. We do not meet those thresholds. Nothing in this section limits a request you may make under Section 6.
5. Retention
We retain personal information for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, including for the duration of our work with you and for a reasonable period thereafter, so that we may respond to inquiries, resolve disputes, and meet tax and accounting obligations. Photographs submitted in connection with a job are retained with that job record. Records used solely to limit repeated submissions are retained only for that limited purpose. The site usage record described above is kept for about six months and then deleted.
6. Your requests
You may request access to the personal information we hold about you, request that we correct it, or request that we delete it. We will honor a reasonable request unless we are required or permitted to retain the information for an open job, a payment, a dispute, or a tax, accounting, or other legal obligation.
To submit a request, email messages@rockybottomacres.com or call 540.480.9173. Please include the name and the telephone number or service address associated with the job, so that we can locate the applicable record. We may need to verify that you are the person to whom the information relates, or a person authorized to act on that person's behalf, before we complete the request.
7. Children's privacy
The site is directed to homeowners and contractors. It is not directed to children under 13 years of age, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will delete it. If you believe a child has submitted personal information to us, please contact us at the address below.
8. Security
We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information, including transmission of the site over HTTPS and restriction of access to job records to personnel who require it. No method of transmission or storage is completely secure. Payment-card numbers are collected and processed by Square and are not stored on our servers.
9. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The revised policy will be posted on this page, and the effective date below will be changed. The version posted on this page is the version then in effect. Your continued use of the site after the effective date of a revision constitutes acknowledgment of the revised policy.
10. Contact
Questions about this Privacy Policy, or requests concerning your personal information, may be directed to Rocky Bottom Acres, LLC, Grottoes, Virginia, at messages@rockybottomacres.com or 540.480.9173.
Effective October 15, 2026.
